AI & Privacy

We use AI to generate helpful summaries (for example: weekly overviews and match write-ups). This page explains what we send to AI services and what we avoid sending.

What AI features do

  • Generate summaries of recent team activity (training sessions, fixtures, and match events).
  • Generate match summaries/reports from structured match events.

What we send (anonymised)

When we generate AI summaries, we send structured, minimal data about events (dates/times, event types, results, and selected stats).

This applies to both weekly overviews and match summaries: match events are described using anonymised player references (not names).

If a player needs to be referenced, we do not send their real name. We send only one of the following identifiers:

  • Shirt number (for example #11) if set
  • Nickname if no shirt number is set
  • Internal player ID (for example player #123) if neither is set

What we do not send

  • Player forenames/surnames (real names)
  • Parent/guardian contact information
  • Any uploaded documents
  • Free-text finance notes (we intentionally exclude these from AI prompts)

How it appears in the app

In the dashboard, you may see player references displayed using your team’s normal display rules (nickname if set, otherwise name). This is done locally inside Team Manager after the AI response is returned.

In other words: AI never receives player names, but the UI can still show the names you already have stored.

Security and Data Protection

All AI processing is conducted in compliance with our privacy and security practices. Data sent to third-party AI services is anonymised and limited to what is necessary to generate summaries. We do not use personal identifiers in AI prompts.

Intended Use and Limitations

The AI features in Team Manager are designed to assist you with summaries and insights. AI outputs:

  • Are based on structured data and may not reflect subjective or contextual factors.
  • Are not guaranteed to be accurate, complete, or free from errors.
  • Should not be used as the sole basis for important decisions regarding player welfare, contracts, or health.

Always use your own judgment and consider additional context when making decisions based on AI-generated content.
